Administrative Coordinator, Faculty of Education

**About the Role**:
Reporting to the Program Director, the Administrative Coordinator provides a broad range of administrative support, coordination, and program support to ensure efficient day-to-day of the Teacher Education Program. This includes student records management, financial records management, Workday tasks, hiring/contracts for instructors, timetabling, scheduling, meeting coordination, planning and collaborating on action items with Program Director, Administrative Coordinators and Divisional Coordinators (PJI, IS, Tech Ed). The Coordinator will be the liaison between different departments to ensure the academic mission of the Teacher Education program as a whole is met.
**The Administrative Coordinator will**:
- Provide administrative support to the Program Director, Administrative Coordinators, faculty, staff, and students, including correspondence, scheduling and daily operations;
- Assist the Program Director and Administrative Coordinators in providing reminders of important upcoming deadlines (e.g., course collection due dates, budget deadlines, final grade submissions) and provide information regarding daily administration, issues, updated policies and scheduling updates/ or concerns;
- Retain and organize departmental records (print and digital), including student files, course materials, and administrative documents;
- Draft, proofread, and distribute Teacher Education program communications, including memoranda, reports, and announcements;
- Maintain and update program websites and Experience BU pages;
- Initiate and coordinate collection of course information from Program Director to prepare academic timetable for the Registrar’s Office for undergraduate programs;
- Liaise with Registrar's Office regarding deadlines for course composition forms, examination information, and calendar submissions;
- Organize and process job postings and contracts (for Part-time instructors, Teaching Assistants, Marker/Graders, Course Coordinators, etc.);
- Track information regarding academic misconducts investigations, schedule meetings and following through with information for the Associate Dean and the Registrar’s Office;
- Organize program events, retreats, workshops, and seminar series, including logistics and communications;
- Arrange itineraries, parking, and expense claims for visitors and guest speakers;
- Coordinate and attend program meetings, take minutes, and circulate minutes to appropriate parties after meetings;
- Coordinate with Faculty Budget Manager, to initiate and assist with annual budget preparation using information from Program Director, faculty and staff;
- Prepare financial transactions such as purchase orders, cheque requisitions, deposits, transfers, and wire payments.
**Key Skills and Experience**:
- Experience in an administrative support role;
- Familiarity with Ontario K-12 education system;
- Familiarity with Brock systems and processes;
- Ability to maintain accurate records, including financial record keeping;
- Excellent writing, grammar, editing, and proofreading skills including accessible communications;
- Promotes and embodies inclusivity and respect within the workplace and the broader community;
- Superior interpersonal skills including tact, discretion, and confidentiality;
- Ability to interact with persons from diverse backgrounds;
- Ability to work independently in a supportive and collaborative manner, and as part of a team;

- Strong initiative and ability to function as a self-starter.
**Preferred or Asset Skills**:
- Experience in a University environment;
- Knowledge of Ontario Technological Education programs;
- Knowledge of Brock Teacher Education programs.
**Salary and Total Rewards**:
- Job Grade I, Salary Scale ($52,093-$84,476);
- Target Hiring Salary: $52,093
- This is a permanent position that includes:
