Location: St.Catharines BBBS office, with travel to other BBBS locations within Niagara required

Rate: $20.51 per hour, plus paid vacation time and sick days

Type: Full-time 37.5 hours per week

Typical work week: Monday to Friday with occasional evenings and weekends

The Administrative Coordinator supports various aspects of Big Brothers Big Sisters of Niagara operations. The Administrative Coordinator is responsible for the co-ordination of offices, administrative functions, procedures and resources to facilitate organizational effectiveness for the agency.

Big Brothers Big Sisters of Niagara (BBBSN) is a charitable organization that has been supporting vulnerable young people in Niagara since 1937. Our mission is to enable life-changing mentoring relationships to ignite the power and potential of young people. This is achieved through a combination of one on one and group mentoring programs, offered both in the community and in schools.

**Key Tasks and Responsibilities**:

- Organize meetings, locations, logistics and schedules.
- Complete general administrative functions that support the agency’s operations.
- Assist with donor recognition and thank yous.
- Prepare tax receipts in accordance with CRA guidelines.
- Accurately record donations and touch points in the donor management system.
- Develop and maintain positive and professional relationships with agency supporters.
- Assist with filing and the organizing of client files at offices and storage locations.
- Assist with the tracking of files and the implementation of storage procedures.
- Ensure that offices spaces are safe, well-maintained, organized, and equipped.
- Orchestrate necessary services for the office spaces.
- Organize the distribution and tracking of keys and office access information.
- Support with the organization of in-person and online resources and tools.
- Attend in-community fundraising opportunities (i.e. events, Bingo, etc.) on a regular basis.
- Be on site to support with various functions required at satellite locations.

**Requirements**:
A current and clear Police Vulnerable Sector Check (PVSC) naming Big Brothers Big Sisters will be required.

Strong belief in the Big Brothers Big Sisters’ mission, vision, values and strategic direction.

All BBBS employees work as part of a team, maintaining flexibility and ongoing communication.

This position requires the employee to have access to a reliable insured vehicle, valid driver’s license, and ability to travel between multiples offices/sites.

**Qualifications**:

- Previous administrative experience.
- Post-secondary diploma or degree in office administration or a related area is preferred.
- Experience with Microsoft Office Suite, and tax receipting platforms is an asset.
- Excellent interpersonal and written and verbal communication skills.
- Ability to handle multiple tasks simultaneously while maintaining attention to details.
- Creative problem-solving habits and priority setting skills.
- Exhibit a professional demeanor appropriate to a children’s’ charity.
- Awareness and sensitivity to diversity, equity, inclusion and justice.
- Demonstrated ability to effectively solve problems as they arise.
- Ability to work flexible hours and in different locations.

**Job Type**: Fixed term contract
Contract length: 12 months

Pay: $20.51 per hour

Expected hours: 37.5 per week
