About the Role

We are seeking a highly organized and detail-oriented Legal Administrative Assistant to join our team at Guraya Law Professional Corporation. As a key member of our administrative staff, you will provide exceptional support to our lawyers and staff, ensuring the smooth operation of our law firm.

Key Responsibilities
  • Scheduling and Coordination: Schedule and confirm appointments, meetings, and court sessions, ensuring timely and efficient communication with clients, lawyers, and other stakeholders.
  • Document Management: Maintain accurate and up-to-date filing systems, both physical and digital, to ensure easy access to important documents and records.
  • Minute Taking and Record Keeping: Record and prepare minutes of court sessions, meetings, and conferences, ensuring accuracy and attention to detail.
  • Office Procedures and Routines: Establish and maintain efficient office procedures and routines, ensuring a productive and organized work environment.
  • Travel Arrangements: Arrange travel, itineraries, and make reservations as needed, ensuring seamless travel experiences for our lawyers and staff.
  • Financial Reporting: Prepare and review financial statements and reports, ensuring accuracy and compliance with financial regulations.
  • Correspondence and Document Preparation: Prepare and key in correspondence and legal documents, ensuring attention to detail and adherence to legal procedures.
  • Review and Proofreading: Review and proofread documents and correspondence to ensure compliance with legal procedures and grammatical usage.
Requirements
  • Education: College, CEGEP, or other non-university certificate or diploma from a program of 1 year to 2 years.
  • Experience: 7 months to less than 1 year of experience, or equivalent experience.
  • Work Setting: Willing to relocate and work in a fast-paced environment.
  • Computer and Technology Knowledge: Proficient in MS Word, MS Office, and other relevant software.
  • Supervision: 1 to 2 people.
  • Work Conditions and Physical Capabilities: Ability to work under pressure, meet tight deadlines, and maintain attention to detail.
  • Personal Suitability: Accurate, client-focused, dependable, efficient interpersonal skills, excellent oral and written communication, organized, reliable, team player, and ability to multitask.
