We are seeking a highly organized and detail-oriented Program Service Assistant to provide administrative support to our Planning and Development team at Humber River Health.
Key Responsibilities:- Provide high-quality administrative clerical support services to the Planning and Development team.
- Arrange appointments, meetings, agendas, and track, file, and distribute various project documentation.
- Attend meetings, record minutes, coordinate materials, and follow up from various committee meetings.
- Compose and edit correspondence and reports.
- Act as a liaison with the public to provide general information on programs.
- Communicate with external and internal customers to facilitate the resolution of concerns.
- Assist with confidential information as required.
- Coordinate office functions.
- Assist with coordination of program-wide events.
- Assist in completing payroll.
- Prepare data, statistics, and reports.
- Assist in completing staff schedules and on-call rosters.
- Reconcile credit card purchases.
- Compose and edit correspondence and reports.
- Assist with special projects as requested.
- Minimum five years of administrative/secretarial experience supporting management/administrative staff.
- Graduate of a recognized post-secondary education in Business Administration/Secretarial, or related field.
- Previous experience taking minutes and supporting committees.
- Previous experience in a healthcare environment (clinic, hospital, physician's office).
- Excellent communication and interpersonal skills.
- Excellent computer skills (Microsoft Office - Word, Excel, PowerPoint, Access, Outlook) along with a typing speed of 60 W.P.M is required.
- Knowledge of Meditech computer system an asset (Order Entry, PCI, MOX, Meditech Skills Data Base).
- Excellent organizational skills, including the ability to prioritize and initiate work are essential.
- Knowledge of medical terminology is essential.
- Ability to work independently and collaboratively within a team.
- Ability to multitask in a fast-paced environment.
- Good attendance record.
- Proven decision-making and problem-solving skills.
- Ability to handle sensitive and confidential issues/information in a professional manner.
