Job Description

We are seeking a highly skilled and detail-oriented Administrative Support Specialist to join our team at the City of Toronto. The successful candidate will provide executive-level administrative support to the Director, Program Support of the Policy, Planning, Finance & Administration Division.

Key Responsibilities
  • Provide administrative support in day-to-day operations and related support to other units within the division
  • Exercise caution and discretion with sensitive information
  • Prepare and process confidential documents
  • Prepare agendas, presentation materials, and minutes
  • Handle scheduling of appointments and ensure timely information is provided to the Director

The ideal candidate will have post-secondary education in a related field or an equivalent combination of education and experience. They will possess considerable experience in secretarial and administrative support duties, including handling confidential materials and information.

The successful candidate will be able to exercise independent judgment and discretion in dealing with highly confidential operational matters and management staff. They will also have excellent organizational and time management skills, including attention to detail and ability to set priorities and meet deadlines.
