About the Role

TalentSphere Staffing Solutions is seeking an experienced High-Level Administrative Support Specialist to join our client's team in the asset management sector. As a key member of the administration team, you will provide high-level administrative support to the President, CFO and CIO, ensuring the smooth operation of the office.

The ideal candidate will have a strong background in administrative support, with a proven track record of providing exceptional service to senior executives. You will be responsible for managing event logistics, including catering, room organization, and guest assistance, as well as reviewing, organizing, and responding to regular correspondence.

You will also be required to compose general correspondence, transmittal letters, meeting minutes, and notes as requested, using your excellent written and verbal communication skills. Additionally, you will assist with the coordination and preparation of presentations, reports, supplemental schedules, and data summaries, using your strong organizational skills.

Key Responsibilities:

  • Manage reception duties, including greeting guests, direct phone calls, and handling deliveries
  • Perform routine tasks such as filing, drafting, copying, editing, scanning, faxing, and courier coordination
  • Organize and manage internal and external meetings
  • Assist with the coordination and preparation of presentations, reports, supplemental schedules, and data summaries
