Administrative Coordinator

This position is an exciting opportunity for a skilled Administrative Associate to join our team at the Construction Association of New Brunswick Moncton Northeast.
Job SummaryWe are seeking a highly organized and detail-oriented individual to provide administrative support to our Executive Director. The successful candidate will be responsible for performing a wide range of confidential, administrative, and bookkeeping duties to support the overall operations of our organization.
Key Responsibilities- Reception/Office Administration:
- Welcome visitors and receive, direct, and manage all incoming communications, including telephone calls, emails, mail, and deliveries.
- Oversee the Bid Depository by confirming general contractors prior to bid closing, tabulating results, preparing and distributing bid results, and preparing rejection letters.
- Process orders for CCA and CCDC Documents and Seals.
- Maintain and update CINet database daily.
- Coordinate and design the Weekly Bulletin in collaboration with the Support Specialist.
- Monitor and maintain inventory of necessary office supplies.
- Monitor office equipment and systems, and resolve issues as needed.
- Coordinate bookings and calendars for the training room and boardroom.
- Coordinate meeting logistics schedules.
- Take minutes of meetings.
- Prepare communication and materials for Board meetings.
- General administrative support as needed.
- Other duties as assigned.
- Bookkeeping:
- Perform all bookkeeping functions using Quickbooks Online.
- Prepare all payroll using WagePoint.
- Process credit card payments for on-site payments, bank deposits, payment coordination.
To be considered for this role, you must possess:
- A formal education in Office Administration or equivalent combination of education and career experience.
- A minimum of 3 years' experience in a similar role.
- Quickbooks experience essential.
- Possess a high degree of professionalism and integrity.
- Excellent problem-solving & time management skills.
- Excellent communication and customer service skills.
- Highly organized with strong attention to detail.
- Demonstrated willingness to be flexible and adaptable to changing priorities.
- Proficiency in Microsoft Office suite of applications, such as Word, Excel, and Outlook.
- Fluent in written and spoken English; proficiency in French an asset, but not required.
The successful candidate can expect a competitive salary range of $45,000 - $55,000 based on experience, commensurate with qualifications and experience.
