Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Absolute Respiratory Services Inc. The successful candidate will provide administrative support to our medical office team, ensuring seamless day-to-day operations.

Key Responsibilities
  • Coordinate the flow of information within the team, ensuring timely and accurate communication.
  • Manage and distribute mail, packages, and other materials, maintaining a well-organized workspace.
  • Prepare and record minutes of meetings, seminars, and conferences, highlighting key takeaways and action items.
  • Determine and establish office procedures and routines, streamlining processes for maximum efficiency.
  • Schedule and confirm appointments, ensuring seamless coordination with clients and colleagues.
  • Manage contracts, maintaining accurate records and ensuring compliance with company policies.
  • Answer telephone calls and relay messages, providing exceptional customer service.
  • Answer electronic inquiries, responding promptly and professionally to client and colleague requests.
  • Perform data entry, maintaining accurate and up-to-date records.
  • Collaborate with the marketing department to understand and communicate marketing messages to the field, ensuring alignment with company goals.
Requirements
  • First Aid Certificate
  • Proficiency in MS Excel, MS Outlook, MS PowerPoint, and MS Word
  • Knowledge of social media platforms and accounting software
  • Technical terminology: Medical
  • Area of specialization: Invoices
  • Vulnerable sector check
  • Ability to work independently, in a fast-paced environment, and under pressure
  • Excellent written communication, judgement, client focus, and time management skills
