**Job Overview:**

We are seeking an experienced Personal Assistant & Office Administrator to support our Managing Partner and ensure the efficient operation of our office.

Key Responsibilities:

  • Manage executive personal finances, including budgeting, expense tracking, and bill payments.
  • Coordinate travel arrangements, accommodations, and meeting schedules.
  • Handle phone calls, emails, and correspondence on behalf of the executive.
  • Maintain the executive's calendar, schedule appointments, and manage day-to-day priorities.
  • Assist with reconciling expenses, preparing financial reports, and ensuring timely payments.
  • Occasionally travel with the executive to meetings, conferences, or other business events (up to 10-15%).

Office Administration:

  • Oversee day-to-day office operations, ensuring a productive and efficient work environment.
  • Manage office supplies, inventory, and equipment procurement.
  • Coordinate with IT and other vendors to ensure seamless office support.
  • Organize and maintain physical and digital office files.
  • Assist with accounts payable/receivable, invoicing, and financial record-keeping.
  • Support budget management and provide financial updates as required.
  • Provide administrative support to other team members as needed.

Project Oversight:

  • Support the executive in managing ongoing business projects, ensuring timely progress and communication with stakeholders.
  • Monitor project timelines, coordinate with team members, and provide regular updates.

Qualifications:

  • 3+ years of experience as a Personal Assistant, Office Administrator, or in a similar role.
  • Strong organizational and time-management abilities.
  • Proficiency in financial management tools and bookkeeping software (e.g., QuickBooks or similar).
  • Excellent verbal and written communication skills.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Valid driver's license and reliable transportation.
  • Flexibility and adaptability in a fast-paced environment.
  • Proven ability to prioritize tasks and manage multiple responsibilities simultaneously.
  • Strong analytical and problem-solving skills.

Estimated Salary: $55,000 - $65,000 per year, depending on experience.
