PermitMasters is seeking an experienced Administrative Coordinator - Customer Service Specialist to join our team.

Salary: $55,000 - $65,000 per year

About the Role

We are looking for a highly organized and detail-oriented individual to manage communication channels, respond to inquiries, and support various administrative tasks. In this role, you will play a crucial part in ensuring the smooth operation of our business.

Key Responsibilities
  • Communication Management:
    • Effectively manage phone calls and company emails.
    • Respond to daily requests from homeowners and industry members, providing accurate information and addressing concerns.
  • Sales Support:
    • Assist in preparing estimated service proposals based on customer requirements and company pricing guidelines.
    • Manage follow-ups with potential clients to nurture leads and convert opportunities into sales.
    • Update and maintain contracts, ensuring accuracy and compliance with company policies and legal requirements.
  • Product Knowledge and Communication:
    • Become an expert in our services and effectively communicate their value proposition to clients.
  • Marketing and Social Media:
    • Collaborate with the marketing team to assist in the development and execution of comprehensive marketing and advertising strategies.
    • Assist in managing social media campaigns across various platforms, ensuring consistency with brand messaging and strategic objectives.
  • Financial Responsibilities:
    • Create accurate and timely invoices for our clients, ensuring adherence to billing cycles and payment terms.
    • Coordinate payment processes to facilitate seamless and timely transactions.
  • Administrative Support:
    • Maintain office systems and ensure the proper functioning of the office.
Requirements
  • Proven experience: In customer relations and administrative roles.
  • Skills: Strong organizational and multitasking skills, excellent written and verbal communication skills, familiarity with Customer Relationship Management (CRM) systems, and knowledge of basic accounting principles.
  • Educational Background: High school diploma or equivalent required; degree in business administration, communications, or related field preferred.
