Administrative Assistant Opportunity

We are seeking a highly skilled and organized Administrative Assistant to join our team at the YMCA of Three Rivers. As an Administrative Assistant, you will play a vital role in supporting the leadership and direct delivery teams, as well as clients, by providing administrative duties, data entry, and filing.

Key Responsibilities:
  • Provide exceptional customer service and respond to inquiries in a timely and professional manner.
  • Support the EarlyON system, including data entry and problem-solving.
  • Maintain a systematic and organized filing system and archiving system for the EarlyON Waterloo Region.
  • Communicate with clients through email, telephone, and virtual platforms to describe EarlyON and KEyON data entry and usage.
  • Perform administrative duties, including organizing mail, typing correspondence, report generation, and data entry.
  • Provide support with group sessions, workshop presentations, and networking meetings, including note-taking, room bookings, and Zoom channel bookings.
  • Attend workshops, trainings, conferences, and staff meetings as required.
Requirements:
  • Completion of a Community College Diploma in a related discipline.
  • 3-5 years of related experience required, or technical training, or a combination of education and experience.
  • Superior customer service, communication, and teamwork skills.
  • Strong knowledge of computers, iPad, and Zoom platforms.
  • Strong analytical, problem-solving, and organizational skills, with attention to detail.
  • Strong MS Office skills, especially Word, Excel, Teams, and Outlook.
  • Ability to work with minimal supervision.
  • Ability to maintain confidentiality, as the position handles sensitive information.
  • Strong understanding of the KEyON data entry system is an asset.
  • Acceptable Police Check for Vulnerable Sector or willingness to obtain at own cost.
