Office Support Specialist

We are seeking an experienced Office Assistant to join our team at Randstad Canada. As an Office Assistant, you will be responsible for providing administrative support to our clients in the food industry. This is a fantastic opportunity to work with a dynamic company and contribute to the success of our team.
Key Responsibilities
• Provide front desk receptionist duties, including welcoming visitors, answering phone calls, and handling mail and courier services.
• Organize the sending and receiving of frozen food samples, including coordinating with vendors, receiving, unpacking, inventory, packing, sending, notification, and dry ice ordering.
• Prepare monthly CAD and USD credit card statement reconciliations and invoice compiling using Excel.
• Create new SAP item codes in SAPB1 ERP and confirm delivery of all courier packages sent, in case of delay, contact the courier and open a dossier.
• Prepare waybills to send packages or documents by FedEx or West Island Express.
• Order office supplies, maintain the stationary room, janitorial supplies, coffee supplies, and milk.
• Review and approve related invoices, including FedEx, couriers, Denis, milk, and others.
• Prepare Ministerial Exemption forms.
• Scan original documents for LATAM and exports as received and send to the team.
• Empty the dishwasher in the morning and run it in the evening.
• Empty and wipe down coffee machines daily.
• Maintain sample room freezer inventory.
• Help organize office events and meeting catering, as required.
• Take care of weekly fruit program ordering and setup.
• Perform work-related administrative responsibilities for management, including tracking, filing, organizing, and preparing documents.
• Coordinate building maintenance issues, including service providers when needed.
• Water interior plants.
• Coordinate Christmas decorations.
• Provide creative resources for marketing, as required.
• File for accounting, as required.
Requirements
• Fluent in English (written/spoken) and professional in French (spoken), with the ability to communicate effectively.
• Good computer skills and comfortable with Microsoft Office.
• Strong organizational skills and attention to detail.
• Independent worker.
• Knowledge of SAPB1 ERP system is an asset.
