Role Overview
We are seeking a skilled Receptionist to join our Toronto office team. This role requires delivering exceptional services with professionalism and efficiency, enhancing the experiences of both internal and external clients.
The Successful Candidate Will Be Responsible For:
- Phone Operations: Operating a multi-line phone system, handling incoming calls, and directing callers to the right individual.
- Visitor Management: Welcoming visitors with a warm and professional touch while logging their arrivals.
- Safety and Security: Safeguarding our premises through strict protocols and maintaining a secure environment.
- Meetings and Events: Reserving meeting rooms using our online system, monitoring daily schedules, and assisting with last-minute requests.
- Facilities Maintenance: Ensuring meeting rooms are ready for use throughout the day and setting up audio-video equipment as needed.
- Front Desk Duties: Opening and closing the main reception area, keeping it organized, and tidy.
- Ticket Support: Providing back-up coverage within the Client Centre Services team when required.
- Facilities Liaison: Collaborating with the Facilities and Business Services Manager on maintenance and facilities-related issues.
- Emergency Response: Participating in the Emergency Response Team with training in CPR and First Aid.
Salary Information
Our competitive compensation package includes an estimated salary range of $45,000-$55,000 per annum, commensurate with experience, plus extended health and dental care, RRSP matching, education/tuition allowance, fitness reimbursement, and a hybrid work environment.
Required Skills and Qualifications
- A minimum of 3 years of experience in a law firm or corporate environment (asset)
- Polished telephone manner and diplomatic demeanor
- Top-notch organizational skills and strong communication abilities
- Interpersonal and relationship-building skills, working harmoniously across levels
- Proficiency in Microsoft Office Suites (Word, Excel, Outlook)
- Flexibility in schedule
- Previous law firm or corporate experience (a plus) and CPR/First Aid certification (optional but advantageous)
