About the Role:

The University of Toronto is seeking an experienced Office Coordinator to join our team in the Division of University Advancement. As an Office Coordinator, you will provide administrative support and guidance to the Office of the Vice President, Advancement. This is a fast-paced and dynamic role that requires strong organizational and communication skills.

Key Responsibilities:

  • Coordinate tasks and projects with stakeholders, ensuring timely and effective completion.
  • Format and generate reports, presentations, and other documents as required.
  • Schedule travel plans, meetings, and events, and coordinate logistics.
  • Monitor and order office supplies, and track ongoing contracts and permit renewals.
  • Provide front-line customer service and support to staff, students, and external partners.
  • Handle sensitive and confidential information with discretion and tact.

Requirements:

  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum three years in an administrative support role, preferably in an advancement environment.
  • Proven success in providing effective front-line customer service and support in a busy environment.
  • Strong analytical and problem-solving skills, with ability to multi-task and meet deadlines.
  • Excellent verbal and written communication skills, with high level of proficiency in Microsoft Office.
  • Excellent interpersonal skills, with ability to work independently and as part of a team.
  • Ability to maintain confidentiality and handle sensitive information with discretion.

Assets:

  • Familiarity with virtual communication platforms, such as Zoom and Teams.
  • Knowledge of the advancement profession and the University's Advancement programs.
