Job Summary

We are seeking a highly organized and proactive Marine Operations Coordinator to join our Personnel & Logistics (Crewing) team at our Burlington location. As a key member of the team, you will report directly to the Operations Manager and be responsible for ensuring smooth and efficient vessel crewing operations for your assigned group of vessels. Your primary focus will be on providing exceptional service to the crews, while adhering to management's directives and procedures.

Key Responsibilities
  • Coordinate vessel crew changes, including monitoring schedules and providing updated forecasts;
  • Communicate schedule updates to vessel Masters and onshore crews;
  • Arrange ancillary services such as flights, hotels, and ground transportation;
  • Regularly communicate with Operations Managers regarding crew rotations, locations, and logistics;
  • Manage high volumes of email correspondence and phone calls;
  • Generate monthly performance reports and metrics;
  • Ensure compliance with crew logistics policies and procedures;
  • Review and manage crew certifications;
  • Provide support for Payroll data updates;
  • Collaborate with travel vendors and address issues;
  • Administer crew expense reports;
  • Coordinate onboarding and status updates with HR;
  • Support operational system implementations;
  • Additional duties as needed.
Requirements
  • Preferably, a degree in Business, Logistics, or a related field;
  • TICO Certification is a plus;
  • Experience with GDS systems is beneficial;
  • Prior experience in marine or transportation is an advantage;
  • Strong customer service and communication skills;
  • Exceptional organizational abilities and attention to detail;
  • Ability to work under pressure and meet deadlines;
  • Self-motivated.
Working Conditions
  • This role may require after-hours support;
  • Travel to company vessels may be necessary;
  • Ability to work remotely in alignment with WFH policies.
