Job Summary:

We are seeking a highly organized and motivated Personnel & Scheduling Coordinator (Crewing Coordinator) to join our Personnel & Logistics (Crewing) team. The successful candidate will be responsible for the effective execution of vessel crewing functions, ensuring high-level service to vessel crews. This role requires strong customer service skills, attention to detail, and the ability to meet tight deadlines.

Key Responsibilities:

  • Coordinate vessel crew changes, monitoring schedules and providing updated forecasts.
  • Communicate crew change notices and forecast updates to vessel Masters and shoreside crews.
  • Organize ancillary services, including flights, hotels, car rentals, and ground transportation.
  • Liaise with Operations Managers on rotations, locations, dates of crew changes, logistics, and forecasted gaps.
  • Manage high volumes of email correspondence and phone calls, prioritizing tasks and resolving issues.
  • Provide monthly reports and analytics on performance metrics, working to achieve set targets.
  • Work within defined policies and procedures related to crew logistics and general crew matters.
  • Review and manage relevant crew certification, reporting and resolving non-conformities.
  • Support payroll data updates and address queries.
  • Monitor and resolve issues with third-party travel vendors.
  • Administer crew expense reports and coordinate onboarding orientations.
  • Support operational system implementation and integration.

Requirements:

  • Post-secondary education in Business, Logistics, Human Resources, Travel Management & Tourism, or a related field.
  • TICO Certification preferred.
  • GDS System experience considered an asset.
  • Previous experience in the marine or transportation environment an advantage.
  • Strong customer service skills and mindset.
  • Strong written, verbal, and interpersonal skills.
  • Strong organizational skills with exceptional attention to detail and follow-up.
  • The ability to meet tight deadlines while producing quality and consistent work.
  • Self-motivation and a positive attitude.

Working Conditions:

  • McKeil Marine is a 24/7 operating business, requiring after-hours support for emergencies.
  • Periodic travel to company vessels is encouraged, with out-of-province travel compensated if required.
  • The ability to work remotely at home, as outlined by current Hybrid WFH protocols and policies.
