Executive Assistant to the Director of Divisional Services

The Position
We are seeking a highly skilled and experienced Executive Assistant to provide administrative support to the Director of Divisional Services at the shíshálh Nation. The successful candidate will be responsible for providing a high level of administrative leadership and support to the Director, ensuring that they are equipped to operate effectively and efficiently.
The ideal candidate will have a strong background in administration, with a minimum of five years of senior executive administrative experience supporting a senior executive, preferably within a First Nations environment. They will be able to maintain and work with confidential and sensitive information, and provide stability support as well as leadership across multiple teams.
The Executive Assistant will be responsible for a wide range of tasks, including managing the Director's calendar, preparing and formatting written communication, reporting, and presentations, and coordinating travel arrangements. They will also be responsible for providing updates on issues and advancing them with internal teams, and communicating with external clients.
The successful candidate will be a self-motivated and organized individual with excellent communication and project management skills. They will be able to work effectively in a fast-paced environment and prioritize multiple tasks seamlessly with excellent attention to detail.
Key Responsibilities:
- Provide administrative support to the Director of Divisional Services
- Manage the Director's calendar and prepare and format written communication, reporting, and presentations
- Coordinate travel arrangements and provide updates on issues and advance them with internal teams
- Communicate with external clients and provide information and updates as required
- Manage multiple tasks and prioritize them effectively
- Work effectively in a fast-paced environment and maintain confidentiality and discretion
Qualifications, Skills and Abilities:
- Post-secondary degree in Administration or a related field
- Minimum five years of senior executive administrative experience supporting a senior executive, preferably within a First Nations environment
- Ability to maintain and work with confidential and sensitive information
- Ability to provide stability support as well as leadership across multiple teams
- Excellent communication and project management skills
- Ability to work effectively in a fast-paced environment and prioritize multiple tasks seamlessly
