Job Description

We are seeking a highly organized and detail-oriented Executive Support Coordinator to join our team at MAPLE CREST INN. In this role, you will provide administrative support to our executives and contribute to the smooth operation of our business.

About the Role
  • This is a permanent position with a salary range of $45,000 - $60,000 per year, based on experience and qualifications.
  • The successful candidate will have 32 hours of work per week, Monday to Friday.
Key ResponsibilitiesAdministrative Support
  • Arrange and coordinate seminars, conferences, and other events.
  • Coordinate the flow of information within the team.
  • Direct and control daily operations.
  • Evaluate daily operations and implement improvements.
  • Open and distribute mail and other materials.
  • Plan and organize daily operations, including scheduling appointments and managing contracts.
  • Establish and implement policies and procedures.
  • Record and prepare minutes of meetings, seminars, and conferences.
  • Determine and establish office procedures and routines.
  • Plan, develop, and implement recruitment strategies.
  • Schedule and confirm appointments.
  • Manage contracts and agreements.
  • Answer telephone calls and relay messages.
  • Answer electronic enquiries.
  • Compile data, statistics, and other information.
  • Oversee the preparation of reports.
  • Respond to employee questions and complaints.
  • Order office supplies and maintain inventory.
  • Negotiate collective agreements on behalf of employers or workers.
  • Arrange travel, itineraries, and make reservations.
  • Greet people and direct them to contacts or service areas.
  • Set up and maintain manual and computerized information filing systems.
  • Type and proofread correspondence, forms, and other documents.
  • Perform data entry.
  • Provide customer service.
  • Work with the marketing department to understand and communicate marketing messages to the field.
  • Maintain and manage digital databases.
  • Perform basic bookkeeping tasks.
  • Consult with clients after sale to provide ongoing support.
