Job Summary

The Administrative Support Specialist will provide high-level administrative support to the staff and clients of Prairie Mountain Health. This role is an integral part of the healthcare team and requires a strong understanding of administrative procedures and protocols.

Key Responsibilities

  • Provide secretarial support services to a multi-disciplinary team of healthcare professionals, including reception duties, scheduling appointments, and maintaining accurate records.
  • Ensure clients receive courteous, respectful, and efficient service, maintaining confidentiality and adhering to PHIA legislation.
  • Perform a range of administrative tasks, including data entry, report preparation, and document processing, utilizing electronic record programs and maintaining accurate filing systems.
  • Coordinate meeting arrangements, prepare meeting minutes, and ensure timely distribution of materials.
  • Manage petty cash, process payments, and reconcile accounts as required.
  • Provide backup support to other administrative staff as needed and assist with orientation and training.
  • Perform other duties as assigned to ensure the smooth operation of the program.

  • Strong administrative skills, including data entry, report preparation, and document processing.
  • Excellent communication and interpersonal skills, with the ability to work effectively with diverse stakeholders.
  • Ability to maintain confidentiality and adhere to PHIA legislation.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Proficiency in electronic record programs and software applications.
