Administrative Coordinator

About the Role:

We are seeking an experienced Administrative Coordinator to join our team at KB RECRUITMENT AGENCY LTD. The successful candidate will be responsible for providing administrative support to our team, including coordinating seminars, establishing policies, and preparing minutes of meetings.

Key Responsibilities:
  • Seminar Coordination:
    • Arrange and coordinate seminars, conferences, and other events
  • Policies and Procedures:
    • Establish and implement policies and procedures to ensure efficient operations
  • Meeting Minutes:
    • Prepare and record minutes of meetings, seminars, and conferences
  • Office Management:
    • Determine and establish office procedures and routines
  • Recruitment Strategies:
    • Plan, develop, and implement recruitment strategies to attract top talent
  • Scheduling and Appointments:
    • Schedule and confirm appointments for staff and management
  • Communication:
    • Answer telephone calls and relay messages to staff and management
  • Data Analysis:
    • Oversee the analysis of employee data and information
  • Reporting:
    • Oversee the preparation of reports for management and staff
  • Inventory Management:
    • Order office supplies and maintain inventory levels
  • Payroll Administration:
    • Oversee payroll administration and ensure timely payments
  • Travel Arrangements:
    • Arrange travel, itineraries, and make reservations as needed
  • Customer Service:
    • Provide exceptional customer service to clients and internal stakeholders
  • Bookkeeping:
    • Perform basic bookkeeping tasks, including reconciliations and expense tracking
Requirements:
  • Education:
    • College, CEGEP or other non-university certificate or diploma from a program of 1 year to 2 years
  • Experience:
    • At least 1 month of experience in an administrative role
  • Computer Skills:
    • Proficient in MS Office, including Excel, Outlook, PowerPoint, and Word
    • Familiarity with social media platforms
    • Knowledge of accounting software, such as QuickBooks
  • Work Environment:
    • Fast-paced environment with minimal supervision
  • Personal Qualities:
    • Excellent communication and organizational skills
    • Ability to multitask and work under pressure
    • Reliability and flexibility
