Job Description

As an Executive Secretary to the General Manager at Accor Hotels, you will play a critical role in providing high-level administrative support and ensuring the smooth operation of the hotel's day-to-day activities.

Key Responsibilities:
  • Administrative Support:
  • Manage the General Manager's schedule, coordinate meetings, and ensure seamless execution of tasks and requests.
  • Screen and handle incoming calls, emails, and correspondence, taking prompt action as needed.
  • Take minutes during executive committee meetings, maintaining accurate records of discussions and decisions.
  • Prepare and dispatch correspondences on behalf of the General Manager, ensuring timely communication with internal and external parties.
  • Facilitate requests from various departments and corporate offices, providing exceptional service and attention to detail.
  • Address residents' and patrons' special requests or complaints, demonstrating a commitment to customer satisfaction.
  • Maintain and update personal files for executive committee members and department heads, ensuring confidentiality and discretion.
  • Update leave records and prepare financial data reports on a monthly basis, showcasing attention to detail and organizational skills.
  • Ensure the office remains well-stocked with stationery and maintain a high level of professionalism, reflecting positively on the organization.
Additional Responsibilities:
  • Develop in-depth knowledge of F&B services, including contents, preparation methods, outlets, and hotel features.
  • Stay conversant with hotel fire and life safety procedures, adhering to strict protocols.
  • Attend briefings, meetings, and trainings as assigned by management, demonstrating a commitment to growth and development.
  • Perform other reasonable duties as assigned by the Management.
  • Minimum 2-3 years of secretarial experience, preferably at the senior management level, with excellent reading, writing, and oral proficiency in English.
  • Good working knowledge of MS Excel, Word, and PowerPoint.
Estimated Salary Range:

$45,000 - $65,000 per annum, depending on location and experience.
