Job Description: Executive Support Associate

We are looking for an experienced Executive Support Associate to join our team in Saint-Laurent, QC. The successful candidate will provide administrative support, answer/screen and forward incoming phone calls, greet visitors and clients, and take charge of activities related to direct mail, opening files, and sorting photocopies.

  • Provide administrative support, including data entry and record-keeping;
  • Answer/screen and forward incoming phone calls, responding to queries and resolving issues as needed;
  • Greet visitors and clients, providing exceptional customer service and ensuring their needs are met;
  • Take charge of activities related to direct mail, opening files, and sorting photocopies;
  • Manage office supplies, ordering and budgeting as required;
  • Coordinate meetings, events, and dinners, arranging logistics and catering as needed;
  • Lift equipment, food, or other items required for meetings or events;
  • Send checks received to the accounts payable department;
  • Assist the customer service team with invoicing, deposits, Interac payments, and organizing events for customers;
  • Help the management team prepare presentations and reports;
  • Prepare and send press releases as required;

The ideal candidate will have a technical diploma in administration or equivalent experience/diploma, 1-3 years of experience in secretarial and/or administrative support, excellent communication skills, fluency in English and French (both written and spoken), proficiency in Microsoft Office (Excel, Word), and the ability to work independently and collaboratively as part of a team.
