Job Summary

The Executive Support Specialist will provide administrative support to our senior leadership team, ensuring seamless execution of daily tasks and projects.

Key Responsibilities:
  • Arrange and coordinate seminars, conferences, and meetings with internal and external stakeholders
  • Develop and maintain accurate records and reports for executive-level meetings and events
  • Provide exceptional customer service, responding to phone calls, emails, and in-person inquiries in a timely manner
  • Maintain office supplies and equipment, ordering as needed
  • Create and distribute meeting minutes, agendas, and other relevant documents
  • Prepare travel arrangements, itineraries, and expense reports for executives
  • Assist with special projects and events, such as company-wide presentations and celebrations
  • Collaborate with cross-functional teams to ensure successful event planning and execution
Requirements:
  • High school diploma or equivalent required; post-secondary education an asset
  • 1-7 months of experience in an administrative support role
  • Proficiency in Microsoft Office Suite, including Excel, Outlook, PowerPoint, and Word
  • Excellent communication, organizational, and problem-solving skills
  • Ability to work effectively in a fast-paced environment with multiple priorities
