About the Role

The Executive Assistant & Coordinator is a vital part of our senior leadership team, responsible for providing high-level administrative support to the President and other key executives. This role requires exceptional organizational skills, multitasking abilities, and a strong focus on detail.

Key Responsibilities:
  • Provide direct administrative and office management support to senior leadership members
  • Maintain schedules, calendars, and travel arrangements for senior leadership
  • Coordinate logistics for meetings, seminars, workshops, and events
  • Review and prepare documents, reports, and correspondence for executive signatures
  • Prepare information for senior leadership presentations
  • Follow up on To-Dos and assignments from senior leadership meetings
Project Coordination:
  • Ensure coordination of senior leadership projects, including strategic planning initiatives and tactical activities
  • Establish project charters, defining goals, objectives, risks, staffing levels, roles, and responsibilities
  • Coordinate with senior leadership on project activities, scheduling, documentation, budget, and resources
  • Conduct meetings and forums on project progress and deliver reports to stakeholders
Office Administration:
  • Refer and redirect calls, emails, or visitors as required
  • Coordinate office activities, including social events
  • Troubleshoot and escalate office administration issues
  • Present a positive and professional image of the executive office to visitors, suppliers, and others
Requirements:
  • Post-Secondary Diploma in Business or Office Administration, or relevant discipline
  • ~5-7 years' experience in an administrative role
  • Strong knowledge of office procedures and practices
  • Exceptional skills with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Resourceful and flexible
  • Ability to work flexible hours if needed

Estimated Salary: $60,000 - $80,000 per year, depending on experience and qualifications.
