About the Role

The Administrative Agent, Class 2 role is a key position within the team at Hospital Shriners. This individual will provide administrative support to the department, ensuring the smooth operation of daily tasks and activities.

Key Responsibilities
  • Administrative Support: Provide administrative assistance to the department, including taking telephone calls, entering data, photocopying, faxing, and scanning.
  • Document Preparation: Draft documents, correspondence, and personalized letters as required.
  • File Management: Gather data to update files, organize information, and maintain accurate records.
  • Reporting: Prepare various reports, including monthly board reports, annual reports, and expense reports.
  • Communication: Follow up on internal and external communications, and coordinate departmental and advisory committee meetings.
  • Team Support: Orient new team members and work collaboratively with different departments to complete tasks.
Qualifications
  • Education: AEC in administration or secretarial studies (an asset).
  • Experience: 2 years' experience in a similar administrative or secretarial role.
  • Language Skills: Fluency in French, with the ability to communicate in English.
  • Technical Skills: Proficiency in Microsoft Office suite.
  • Soft Skills: Organizational and priority management skills, with attention to detail.
