About the Role

The Administrative Associate is a key member of our team, responsible for providing exceptional support to our clients and colleagues. As the first point of contact, you will be the face of our company, ensuring a warm and welcoming experience for all guests and callers.

Key Responsibilities

  • Greet and welcome guests and clients, in person or over the telephone, and direct them to the appropriate person or department.
  • Answer and refer inquiries, providing accurate and timely information to ensure seamless communication.
  • Direct visitors by maintaining employee and department directories, and provide instructions as needed.
  • Sort and forward incoming faxes and emails to the appropriate departments, ensuring timely and efficient processing.
  • Handle incoming and outgoing couriers, including regular mail, and maintain a safe and clean reception area.
  • Provide support on general administrative office services, including ordering office supplies and maintaining stock levels.

Requirements

  • Easy-going and down-to-earth personality, with excellent communication and interpersonal skills.
  • Ability to work hard and meet deadlines, with a focus on delivering exceptional results.
  • Detail-oriented and reliable, with a strong commitment to accuracy and quality.
  • Thrives in a team environment, with a willingness to collaborate and support colleagues.
  • Excellent communication skills, both verbal and written, with the ability to adapt to different communication styles.
  • Level 1 Insurance License is an asset, but not required.
  • Secondary School Diploma, with a minimum of 1-2 years' experience in an office and/or administrative capacity.
  • Proficiency with MS Office Suite, including Word, Excel, PowerPoint, and Outlook.
