Job Summary:

This EHS Administrator role is based in Toronto and reports to the Alstom EHS Project Manager. The successful candidate will play a vital part in assisting local management with day-to-day administration and continuity of the Health & Safety Management System and Environmental Management System.

Key Responsibilities:

Administrative Duties

  • Ensure an updated digital and non-digital safety information board is maintained.
  • Prepare attendance lists and meeting minutes for various meetings.
  • Prepare Joint Health & Safety Committee (JHSC) Meetings packages and minutes.
  • Support EHS training bookings, scheduling, facility arrangements.
  • Assist in planning and development of events (safety stand down meetings, EHS campaigns) and their respective contractual requirements.
  • Review and document control of submitted inspections, incidents, and meetings.
  • Assist in preparing various monthly KPIs, monthly reports, statistics.
  • Maintain employee training proof of training, training expiry, and training matrix.
  • Support desk and field audits.
  • Support the administration of health and safety claims.
  • Manage the EHS general inbox and inquiries.
  • Follow up and electronic archiving all EHS documents.
  • Support the EHS team in all administrative tasks where necessary.

Office Health and Safety

  • Conduct office EHS inspections (e.g., first aid kits, fire extinguishers, AED, etc).
  • Develop and maintain office risk assessments.
  • Participate in improving office ergonomics.
  • Participate in the Project JHSC, mental health committee, and other Alstom initiatives.
  • Support the implementation of EHS management systems.
  • Develop and transmit EHS short communications, newsletters, etc.
  • Support in building/delivering training programs.
  • Occasional site visits/safety inspections for professional development/program understanding.
  • Support office staff in EHS matters.

PPE & Safety Supply Inventory Management

  • Support all teams in PPE and Safety Supply Inventory procurement: sourcing, placing orders, receiving, storing, monitoring inventory, supporting billing, and providing PPE to workers.
  • Monitor PPE and Safety Supply Inventory for annual recertification.

Requirements:

  • Completion of formal university or college education.
  • Experience between 1-3 years in Environmental, Health and Safety.
  • Experience in the Construction industry is an asset.
  • Excellence in Microsoft Office Suites and agility to learn and use other software systems.
  • Knowledge of Canadian EHS legislation.
  • Ability to travel to construction sites to support EHS & site teams occasionally.
  • Developed soft skills: takes initiative, a self-starter, teamwork, people skills, oral and written communications, service-minded.
  • Responsible and honest.
  • Strong organizational skills with the ability to prioritize and multi-task.
