Key Responsibilities

The ideal candidate will provide administrative support to senior-level managers and district executives, ensuring seamless day-to-day operations. Key responsibilities include:

  • Developing and maintaining organized filing systems for easy reference and rapid retrieval of information.
  • Receiving and screening incoming telephone calls, taking messages as necessary, and responding promptly.
  • Greeting visitors, answering questions, and directing them to meeting rooms or connecting them with staff members.
  • Building strong, customer-focused relationships with key stakeholders and decision makers.
  • Organizing meetings and special events, including negotiating catering, locations, and distributing information.
  • Coordinating and prioritizing district executives' calendars, meetings, and travel schedules.
  • Mentoring and coaching junior support staff.
Qualifications

To be successful in this role, the candidate must possess:

  • A high school diploma, with a postsecondary degree or diploma in office administration considered an asset.
  • At least 6 years of progressive experience as an administrative assistant, including 3 years supporting senior-level managers and/or district executives.
  • Excellent verbal and written communication skills, with the ability to communicate professionally with an executive audience.
  • Self-management skills to plan, organize, and prioritize tasks with conflicting deadlines in a fast-paced environment.
  • The ability to handle confidential and privileged information with discretion.
  • Effective relationship-building skills to establish and maintain relationships with key stakeholders and decision makers.
  • General construction knowledge is considered an asset, with the ability to understand terminology and processes when drafting correspondence.
