Job Summary

We are seeking a highly organized and detail-oriented Event Logistics Coordinator to join our team at the Vancouver Convention Centre. As a key member of our operations team, you will play a crucial role in ensuring the seamless execution of events and conferences.

Key Responsibilities
  • Manage the floorplan submission process, ensuring timely and accurate receipt of plans from event organizers.
  • Provide technical evaluations of internal floorplans, ensuring compliance with venue guidelines and safety regulations.
  • Coordinate lineup and fencing plans, including installation and removal.
  • Act as Event Safety Officer, overseeing compliance with venue guidelines and WorkSafe regulations.
  • Support oversight of furniture, fixtures, and equipment (FF&E) and back of house operations and storage.
  • Represent Venue Operations at safety meetings, coordinate hazard assessments, and maintain AutoCAD drawings for events.
  • Manage the floorplan inbox, escalating complex plans for senior review.
  • Approve internal event floorplans, providing technical evaluations relative to event capacity, ingress, egress, and people flow.
  • Support oversight of FF&E inventories, storage, asset disposal, and purchasing.
  • Support oversight of all venue storage and back of house space inspections.
  • Represent Venue Operations at monthly safety meetings.
  • Coordinate Venue Operations annual Job Task Hazard Assessment review.
  • Complete Venue Operations monthly workspace inspections.
  • Act as secondary event contact for the Vancouver Fire Department, submitting fire permit applications.
  • Maintain AutoCAD drawings used for events and client exports.
  • Prepare business cases and decision notes for FF&E related requests.
  • Attend weekly operations meeting and internal production meetings to represent Venue Operations.
Requirements
  • 2-year diploma in Event Management or Business Administration is preferred.
  • Completion of Trade Safety Coordinator & Construction Safety Officer certification preferred/asset.
  • Experience in the events industry, large-scale venue operations, event safety, and technical overlay.
  • Sound working knowledge of Fire Code and building guidelines.
  • Sound working knowledge of a wide variety of standard software applications including Momentus, MS365, and AutoCAD.
  • Embody a positive, enthusiastic, and solution-oriented attitude.
  • Champion and comply with all health and safety regulations and safe working practices as required by current legislation.
  • Passion for hospitality and first-class customer service.
  • Flexibility to work evenings, weekends, and holidays will be required.
