As the premier convention centre in British Columbia, we host over 500 events annually, welcoming hundreds of thousands of international attendees to distinguished conferences, trade exhibitions, banquets, and more.
The Vancouver Convention Centre is seeking a detail-oriented and proactive Venue Overlay Specialist who will be instrumental in managing overlay logistics for events, ensuring flawless execution and adherence to safety standards. Key responsibilities include overseeing the floorplan submission process, conducting technical assessments for internal floorplans, and coordinating layout and fencing strategies. This role will also serve as the Event Safety Officer, ensuring compliance with venue protocols and WorkSafe regulations while supporting the management of furniture, fixtures, and equipment (FF&E) as well as back-of-house operations and storage.
This position will represent Venue Operations in safety meetings, coordinate hazard assessments, and maintain AutoCAD drawings for events. The work schedule will span Tuesday to Saturday, promoting operational efficiency throughout the event planning and execution phases.
Key Responsibilities:
- Manage the floorplan submission inbox, establish submission criteria, and escalate complex plans for senior review.
- Approve all internal event floorplans, providing technical evaluations related to event capacity, ingress, egress, and attendee flow.
- Create layout and fencing plans, including coordinating fencing installations.
- Act as the Event Safety Officer to ensure compliance with venue operation guidelines and WorkSafe regulations, maintaining a primary presence on the floor during move-in and move-out.
- Support oversight of FF&E inventories, storage, asset disposal, and procurement.
- Assist in managing all venue storage and back-of-house space inspections.
- Represent Venue Operations at monthly safety meetings.
- Coordinate the annual Job Task Hazard Assessment review for Venue Operations.
- Conduct monthly workspace inspections for Venue Operations.
- Serve as the secondary event contact for the local Fire Department, including the submission of fire permit applications.
- Maintain AutoCAD drawings utilized for events and client exports.
- Prepare business cases and decision notes for FF&E-related requests.
- Participate in weekly operations meetings and internal production meetings to represent Venue Operations.
Qualifications:
- A 2-year diploma in Event Management or Business Administration is preferred.
- Completion of Trade Safety Coordinator & Construction Safety Officer certification is preferred or considered an asset.
- Experience in the events industry, large-scale venue operations, event safety, and technical overlay is essential.
- Strong working knowledge of Fire Code and building regulations.
- Proficient in a variety of standard software applications, including Momentus, MS365, and AutoCAD.
- Exhibit a positive, enthusiastic, and solution-focused attitude.
- Commitment to championing and adhering to all health and safety regulations and safe working practices as mandated by current legislation, including PavCo's health and safety policies.
- A passion for hospitality and delivering exceptional customer service.
- Flexibility to work evenings, weekends, and holidays is required.
Compensation:
The salary range for this position is $66,983 - $83,729, with offers aligned with PavCo's internal pay equity and the candidate's experience and education. Salary discussions and the overall compensation package will be addressed during initial phone interviews.
