The Vancouver Convention Centre is seeking a detail-oriented and proactive Venue Overlay Specialist who will be instrumental in managing overlay logistics for events, ensuring flawless execution and adherence to safety standards. Key responsibilities encompass overseeing the floorplan submission process, conducting technical assessments for internal layouts, and coordinating lineup and fencing strategies. In the capacity of Event Safety Officer, this position ensures compliance with venue protocols and WorkSafe regulations while also supporting the management of furniture, fixtures, and equipment (FF&E) as well as back-of-house operations and storage.

This role involves representing Venue Operations at safety meetings, coordinating hazard assessments, and maintaining AutoCAD drawings for events. The work schedule will span Tuesday to Saturday, promoting operational efficiency throughout the event planning and execution phases.

KEY RESPONSIBILITIES

  • Overseeing the floorplan inbox, establishing submission criteria, and escalating complex plans for senior-level review.
  • Approving all internal event floorplans, providing technical evaluations related to event capacity, ingress, egress, and crowd flow.
  • Developing lineup and fencing plans, including the coordination of fencing installations.
  • Serving as the Event Safety Officer to ensure compliance with venue operational guidelines and WorkSafe regulations, including being present on the floor during move-in and move-out phases.
  • Assisting in the oversight of FF&E inventories, storage, asset disposal, and procurement.
  • Conducting inspections of all venue storage and back-of-house areas.
  • Representing Venue Operations at monthly safety meetings.
  • Coordinating the annual Job Task Hazard Assessment review for Venue Operations.
  • Completing monthly workspace inspections for Venue Operations.
  • Acting as the secondary event contact for the local Fire Department, including the submission of fire permit applications.
  • Maintaining AutoCAD drawings utilized for events and client exports.
  • Preparing business cases and decision notes for FF&E-related requests.
  • Participating in weekly operations meetings and internal production meetings to represent Venue Operations.

QUALIFICATIONS

  • A 2-year diploma in Event Management or Business Administration is preferred.
  • Completion of Trade Safety Coordinator & Construction Safety Officer certification is a preferred asset.
  • Experience in the events sector, large-scale venue operations, event safety, and technical overlay is essential.
  • Strong understanding of Fire Code and building regulations.
  • Proficient in a variety of standard software applications, including Momentus, MS365, and AutoCAD.
  • Exhibit a positive, enthusiastic, and solution-focused mindset.
  • Commitment to championing and adhering to all health and safety regulations as mandated by current legislation, including PavCo's health and safety policies.
  • A passion for hospitality and delivering exceptional customer service.
  • Willingness to work evenings, weekends, and holidays as required.

COMPENSATION

The salary range for this position is $66,983 - $83,729, with offers aligned with PavCo's internal pay equity and the candidate's experience and education. Salary discussions and the overall compensation package will be addressed during initial phone interviews.
