Administrative Mail Coordinator

This role contributes to the effective operation of our client's mail distribution centers, handling incoming and outgoing mail, and couriers while supporting various business units across Canada. Key Responsibilities:
- Receive, sort, and deliver incoming mail and packages; process and ship outgoing mail and couriers
- Manage troubleshooting mail with accuracy and efficiency, including handling bulk mail, maintaining statistics, and managing workflow
- Print job management, including envelope filling and mail machine operations
- Handle advisor mail correspondence, including sorting, quality checks, and resolving unidentified mail through online portals
- Perform shipping and receiving duties, including sorting branch bags, lifting up to 50 lbs, and delivering packages
- Process couriers using tools like UPS and Canada Post while addressing customer needs through in-person interaction, phone, Teams, and email
- Operate Microsoft Office applications for record management and customer service tasks
Requirements for Success:
- High school diploma or equivalent education
- Previous experience in administrative roles, courier services, or customer service
- Demonstrated ability to communicate effectively, both verbally and in writing
- Proven ability to ensure precise and clear interactions with customers and team members
- Experience in customer service with a focus on effective communication, empathy, and problem-solving
- Proficiency in Microsoft Office, particularly Outlook and Excel
- Solid PC skills, including a strong grasp of applications and systems
- Strong multitasking skills to manage multiple priorities effectively
- Excellent organizational and prioritization skills to meet deadlines in a high-volume environment
- Physical capability to lift and handle items weighing up to 50 lbs
- Adaptability to fluctuating workloads and changing priorities
- Ability to work both independently and collaboratively in a team environment
- Keen attention to detail and strong problem-solving capabilities
- Positive, team-oriented personality with excellent interpersonal skills
