Job Description:

The successful candidate will be responsible for providing high-level administrative support to our Executive team, ensuring seamless day-to-day operations and contributing to the overall success of the organization.

Main Responsibilities:
  • Calendar Management: Coordinate the Executive's calendar, schedule meetings, and arrange travel arrangements as needed.
  • Travel Coordination: Organize corporate travel itineraries, making necessary bookings and arrangements.
  • Communication Management: Manage large volumes of incoming communications, prepare correspondence, and determine priority.
  • Project Support: Provide administrative and project management support to the Executive team, including writing, editing, research, and high-level administrative tasks.
  • Briefings and Presentations: Prepare briefings, talking points, presentations, and proposals for internal and external purposes.
  • Meeting Participation: Participate in meetings and project groups, representing the views of the Executive team when appropriate.
  • Document Management: Ensure proper distribution, filing, and electronic storage of documents, including preparation of cheques and corporate documents for signatures.
  • Confidentiality: Maintain confidentiality of sensitive information.
  • Databases and Files: Maintain accurate databases, files, and documentation.
  • Administrative Support: Provide exceptional administrative support to the department, acting as the go-to person for operational needs.
Key Attributes and Experience:
  • A minimum of 5 years' experience in an administrative or executive assistant role in a fast-paced setting.
  • Collaborative team player with strong interpersonal skills and ability to coordinate and communicate with employees at various levels.
  • Detail-oriented self-starter with high organizational and time management skills.
  • Excellent oral and written communication skills.
  • Demonstrated ability to manage confidential information.
  • Flexible, proactive, and enthusiastic approach to work.
  • Strong technical skills with ability to quickly grasp new concepts and systems.

Salary: £45,000 - £55,000 per annum, depending on experience.
