Position Overview
The Administrative Operations Coordinator will assist the operations team with a variety of responsibilities. Your role will encompass providing administrative assistance, coordinating travel arrangements, and ensuring the efficient operation of the department.
Key Responsibilities:
Administrative Support (30%)
- Manage office administrative functions;
- Prepare internal reports for departmental monitoring;
- Organize internal and external training sessions for new hires;
- Assist in updating departmental files and documentation;
- Respond to and direct internal communications;
- Serve as the company's receptionist when necessary;
- Welcome clients and visitors as required;
- Prepare, distribute, and send correspondence and packages as needed;
Documentation Management (30%)
- Update standard departmental documents;
- Maintain the department's digital network;
- Copy or scan necessary documents;
- Draft departmental memos;
- Review and format documents in Google Docs and Slides;
- Translate documents between English and French.
Travel Coordination (10%)
- Assist with travel arrangements (flights, hotels, car rentals);
- Prepare travel letters for international trips;
- Manage changes to staff mobile plans while traveling abroad;
- Handle departmental purchase invoice receipts;
- Order business cards and internal documents;
Additional Responsibilities (30%)
- Input data into the company's management system;
- Keep employee records current (training, health and safety, etc.);
- Support other team members as needed;
- Coordinate and onboard new employees;
- Reserve and manage meeting spaces;
- Perform other duties related to the position;
Qualifications:
- College diploma or Bachelor's degree in administration or equivalent experience;
- At least five (5) years of relevant experience;
- Familiarity with Google Suite tools - Google Sheets, Google Docs, Google Slides is a plus;
- Experience in event planning and travel coordination;
- Exceptional written and verbal communication skills in both English and French (bilingualism required);
- Ability to prioritize tasks while managing multiple supervisors;
- Professional demeanor and positive attitude;
- Discretion and ability to maintain confidentiality;
- Self-motivated and proactive;
