Reporting to the Director of Payroll and Benefits, the HRIS and Payroll Specialist is responsible for delivering exceptional service in maintaining HRIS data accuracy, payroll precision, compliance with collective agreements, and adherence to relevant legislation.
Key Responsibilities:
- Act as a payroll expert, ensuring accuracy and uniformity in payroll practices, providing guidance on payroll policies, tax implications, and compliance with collective agreements and legislation. Stay informed on evolving federal and provincial regulations.
- Maintain and update employee records in the HRIS, including new hires, status changes, and terminations, while conducting audits of all data entries.
- Manage the complete payroll cycle for assigned groups, from initial entry to processing and final audits, in accordance with legal and contractual obligations.
- Ensure the integrity of the HRIS and timekeeping systems, implementing necessary modifications and collaborating with service providers to guarantee accurate payroll outcomes.
- Process various payments, including stipends, vacation pay, bonuses, and severance, directly within the HRIS.
- Handle stop payments, wire transfers, and adjustments to year-to-date totals as necessary. Prepare and issue records of employment for designated staff.
- Oversee the remittance of deductions and premiums to external agencies, including garnishments, union dues, and pension contributions, along with other monthly reporting requirements.
- Identify and propose enhancements to internal payroll processes to elevate service delivery.
- Engage with relevant stakeholders to provide information and address inquiries, including third-party agencies and service providers.
- Serve as a payroll expert on time and attendance systems, responding to requests and advancing issues as needed.
Qualifications:
- Completion of a 2-3 year College Diploma in a relevant discipline
- Certification from the Canadian Payroll Association (PA/PCP Designation)
- A minimum of 5 years of payroll administration experience in a large organization, preferably within the retail sector and across multiple provinces
- In-depth knowledge of applicable legislation, concepts, collective agreements, and company policies
- Strong ability to prioritize tasks, manage multiple responsibilities, and meet deadlines with a keen attention to detail
- Excellent verbal and written communication skills, presented in a professional manner
- Strong analytical and mathematical abilities; proficient in Excel
- Solid understanding and experience with relevant software applications, including ADP, Kronos Timekeeper, Microsoft Word, Excel, and Outlook.
