Reporting to the Director of Payroll and Benefits, the HRIS and Payroll Specialist is responsible for delivering exceptional service in maintaining HRIS data accuracy, payroll precision, compliance with collective agreements, and adherence to relevant legislation.
Primary Responsibilities:
- Act as a payroll expert, ensuring accuracy and uniformity in payroll practices, including guidance on payroll policies, taxation matters, and compliance with collective agreements and legislation. Stay informed on evolving federal and provincial regulations.
- Oversee the maintenance and accuracy of employee records in the ADP HRIS, including onboarding, status updates, and terminations, while conducting audits of all data entries.
- Manage the complete payroll cycle for assigned groups, from data entry to processing and final audits, ensuring compliance with legislative and contractual obligations.
- Ensure the integrity of ADP and KRONOS systems, implementing necessary modifications and collaborating with service providers to guarantee accurate payroll outcomes.
- Process various payments, including stipends, vacation pay, bonuses, and severance directly within the ADP HRIS.
- Handle stop payments, wire transfers, and adjustments to update year-to-date totals as needed. Prepare and issue records of employment for designated personnel.
- Ensure timely remittance of deductions and premiums to external agencies, including garnishments, union dues, and pension contributions, along with other monthly reporting requirements.
- Identify and propose enhancements to internal payroll processes to elevate service delivery.
- Engage with relevant stakeholders to provide information and address inquiries, including interactions with third-party agencies and service providers.
- Serve as a subject matter expert on Time and Attendance and EIF systems from a payroll perspective, addressing requests and advancing solutions as appropriate.
Qualifications for Success:
- Completion of a 2-3 year College Diploma in a relevant discipline
- Certification from the Canadian Payroll Association (PA/PCP Designation)
- A minimum of 5 years of payroll administration experience in a large organization, preferably within the retail sector, with multi-provincial exposure
- Comprehensive knowledge of applicable legislation, collective agreements, and company policies
- Strong organizational skills with the ability to prioritize tasks, manage multiple responsibilities, and meet deadlines, along with meticulous attention to detail
- Excellent verbal and written communication skills, presented in a professional manner
- Robust analytical and mathematical abilities; proficiency in Excel is essential.
- Solid understanding and experience with relevant software applications, including ADP, Kronos Timekeeper, Microsoft Word, Excel, and Outlook.
