Office Coordinator

We are seeking a dedicated Office Coordinator to join our team at ROSIESKIN BEAUTY SPA & HEALTH LTD. This role is essential in ensuring the smooth operation of our office environment.
Employment Details- Employment Duration: Permanent
- Working Language: English
- Work Hours: 30 hours per week
The ideal candidate will possess:
- A college, CEGEP, or other non-university certificate or diploma from a program lasting 1 to 2 years
- Or equivalent experience
Knowledge of Mandarin is considered an asset.
Work EnvironmentThis position is based in a Spa setting, where a professional demeanor is essential.
Key ResponsibilitiesThe successful candidate will be responsible for:
- Organizing and coordinating seminars, conferences, and other events
- Establishing and implementing office policies and procedures
- Recording and preparing minutes for meetings and events
- Determining and establishing office procedures and routines
- Scheduling and confirming appointments
- Managing telephone communications and relaying messages
- Responding to electronic inquiries
- Compiling data, statistics, and other relevant information
- Advising senior management on various matters
- Ordering office supplies and maintaining inventory
- Welcoming visitors and directing them to appropriate contacts or service areas
- Setting up and maintaining both manual and computerized filing systems
- Typing and proofreading correspondence and documents
- Conducting research as needed
- Performing data entry tasks
- Providing exceptional customer service
- Maintaining and managing a digital database
- Carrying out basic bookkeeping tasks
- Consulting with clients post-sale to offer ongoing support
- Evaluating work environments and procedures to enhance safety and efficiency
Proficiency in the following software is required:
- MS Excel
- MS Outlook
- MS PowerPoint
- MS Windows
- MS Word
- MS Office Suite
The candidate should have experience in:
- Correspondence management
- Report and record keeping
- Statistical analysis
- Basic accounting
Access to personal transportation is necessary.
