Office Operations Coordinator

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at LJW Catering. As an Administrative Assistant, you will play a critical role in supporting the day-to-day operations of our office.
Key Responsibilities- Staff Support
- Provide administrative support to staff members, including responding to inquiries and resolving issues in a timely and professional manner.
- Assist with staff consultation and grievance procedures, ensuring that all matters are handled with confidentiality and discretion.
- Information Management
- Coordinate the flow of information within the team, ensuring that all relevant parties are informed and up-to-date.
- Open and distribute mail and other materials, maintaining a high level of organization and attention to detail.
- Financial Management
- Plan and control budget and expenditures, ensuring that all financial transactions are accurate and up-to-date.
- Plan and organize daily operations, including scheduling and coordinating meetings and appointments.
- Supervision and Training
- Supervise other workers, providing guidance and support as needed.
- Train other workers, ensuring that they have the necessary skills and knowledge to perform their duties effectively.
- Office Administration
- Determine and establish office procedures and routines, ensuring that all tasks are completed efficiently and effectively.
- Schedule and confirm appointments, maintaining a high level of organization and attention to detail.
- Manage training and development strategies, ensuring that all staff members have the opportunity to develop their skills and knowledge.
- Answer telephone and relay telephone calls and messages, providing excellent customer service at all times.
- Oversee the analysis of employee data and information, ensuring that all relevant parties are informed and up-to-date.
- Respond to employee questions and complaints, resolving issues in a timely and professional manner.
- Order office supplies and maintain inventory, ensuring that all necessary materials are available when needed.
- Set up and maintain manual and computerized information filing systems, ensuring that all relevant information is easily accessible.
- Maintain and manage digital database, ensuring that all data is accurate and up-to-date.
- Evaluate work environments, programs and procedures to control, eliminate, and prevent disease or injury, ensuring that all staff members are working in a safe and healthy environment.
- Supervise office and volunteer staff, providing guidance and support as needed.
- Work Environment
