Client Services Coordinator, Animal Care Associate

Location: Calgary, AB

VCA Canada is seeking a reliable and compassionate Client Services Coordinator/Animal Care Associate to become a vital part of our team. This full-time position encompasses a variety of duties that contribute to the smooth and effective daily functioning of our facility. Your main focus will be to ensure that our clients and their pets feel welcomed, expertly cared for, and valued.

Key responsibilities and qualities in your role as Client Services Coordinator/Animal Care Associate include:

  • Support veterinary personnel with diverse tasks and treatments
  • Foster a warm and inviting atmosphere for our patients and their owners
  • Promote a positive, low-stress environment for our clients and their pets
  • Maintain cleanliness in the reception area, pet holding zones, and communal spaces
  • Exhibit compassion and a nurturing demeanor
  • Stay composed in high-pressure situations and adapt to evolving circumstances
  • Efficiently execute tasks independently
  • Take initiative to complete daily responsibilities
  • A certificate from a Veterinary Assistant (VA) or Veterinary Office Assistant (VOA) program is advantageous

Additional responsibilities include:

  • Proficiently manage a multiline phone system and effectively schedule and track appointments
  • Conduct outbound calls to pet owners for follow-ups and future appointment arrangements
  • Handle and respond to email communications; including clients, referring veterinarians, and internal messages
  • Manage the admission and discharge processes for pet patients
  • Process invoicing and billing; create estimates, obtain pet owner confirmations, and handle payments
  • Schedule appointments efficiently
  • Demonstrate excellent customer service skills; a genuine ability to put people at ease and create a welcoming environment
  • Possess strong organizational capabilities
  • Show a willingness to expand knowledge regarding veterinary services, updated medical office procedures, and assist veterinary staff with various tasks and treatments
  • Previous experience in customer service or front desk roles within hospitality, retail, or veterinary settings is essential.
