VCA Canada is seeking a reliable and compassionate Client Services Coordinator/Animal Care Associate to become a part of our dedicated team. This full-time position encompasses a variety of duties that contribute to the smooth and effective daily functioning of our facility. Your main focus will be to ensure that our clients and their pets feel welcomed, expertly attended to, and valued.
Key responsibilities and qualities in your role as Client Services Coordinator/Animal Care Associate include:
- Support veterinary personnel with diverse tasks and treatments.
- Foster a warm and inviting atmosphere for our patients and their owners.
- Promote a positive, low-stress environment for our clients and their pets.
- Perform general cleaning duties; maintain the cleanliness of the reception area, pet holding spaces, and communal areas.
- Exhibit compassion and a nurturing demeanor.
- Maintain composure in high-pressure situations and adapt to changing circumstances.
- Demonstrate efficiency in completing tasks independently.
- Take initiative to fulfill responsibilities throughout the day.
- A certificate from a Veterinary Assistant (VA) or Veterinary Office Assistant (VOA) program is advantageous.
Additional responsibilities include:
- Proficiently manage a multiline phone system and effectively track and schedule appointments.
- Conduct outbound calls to pet owners for follow-ups and future appointment scheduling.
- Handle and respond to email communications; including clients, referring veterinarians, and internal office messages.
- Manage the admission and discharge processes for pet patients.
- Oversee invoicing and billing; prepare estimates, secure pet owner confirmations, and process payments.
- Schedule appointments efficiently.
- Exhibit excellent customer service skills; possess a genuine ability to put individuals at ease and create a welcoming environment.
- Display strong organizational capabilities.
- Show a willingness to expand knowledge regarding veterinary services, updated medical office procedures, and assist veterinary staff with various tasks and treatments.
- Previous experience in customer service or front desk roles within hospitality, retail, or veterinary settings is essential.
