Key Responsibilities:

Accounts Payable:

  • Processing A/P invoices from various sources, ensuring accuracy and matching with received purchase orders in our ERP system (IndustriOS).
  • Preparing cheque runs and electronic funds transfers as necessary.
  • Managing vendor information within the ERP system.
  • Calculating cash disbursements.
  • Preparing month-end reports, ensuring all purchase orders are received and accruals are accounted for.

Accounts Receivable:

  • Generating customer invoices and credits in the ERP system, ensuring timely distribution.
  • Managing customer payment receipts and performing account and bank reconciliations.
  • Conducting customer collections and reporting on A/R status.

Purchasing:

  • Handling MRO purchasing, including conducting cycle counts and managing vendor relationships.
  • Creating and distributing purchase orders for MRO and services as required.
  • Receiving and processing purchase orders in the ERP system.

Support Functions:

  • Providing customer service support, including order entry, product quoting, and coordinating shipments.
  • Managing general file organization for accounts receivable, accounts payable, inventory transactions, and quality assurance.
  • Releasing production orders to the manufacturing floor.
  • Generating various reports, including income statements and balance sheets, as needed.
  • Ensuring accuracy in all reports and postings.
  • Preparing and receiving courier shipments as necessary.
  • Managing switchboard operations and incoming mail.

Required Skills and Qualifications:

  • Exceptional communication skills and a friendly demeanor, capable of working with diverse personalities.
  • Strong attention to detail and multitasking abilities.
  • Ability to maintain composure under pressure.
  • Excellent organizational skills to manage various internal requirements and follow up promptly.
  • Flexibility and adaptability to changing priorities.
  • Proficient computer skills, particularly in MS Office, with advanced Excel capabilities; experience with IndustriOS and Sage is a plus.
  • A positive attitude and the ability to collaborate effectively within a team.
