Northern College of Applied Arts and Technology is in search of an Admissions Coordinator and Registrar Assistant to join our Registrar and Institutional Research division. The ideal candidate will demonstrate professionalism, possess strong communication abilities (both written and verbal), and exhibit exceptional time management skills while maintaining a keen attention to detail. Previous experience with Management Information Systems (MIS) will be considered advantageous.

Reporting directly to the Registrar, the successful applicant will assist the Admissions team and Admissions Officers in evaluating applications, addressing applicant inquiries, entering relevant program admission data, generating admissions correspondence (via the MIS system), and updating critical external-facing documents utilized by prospective students, applicants, and the public. Additionally, the candidate will support Student Records and the Student Records officer in fulfilling requests for transcripts, credentials, and other essential documents, while tracking all stages of transcript and credential creation for quality service reporting.

Key Responsibilities:

  • Coordinate the ordering and assembly of print and electronic acceptance packages, which serve as vital connections for marketing and recruitment with applicants;
  • Act as the primary point of contact for clients (including students, alumni, and program areas) regarding troubleshooting, access, and utilization of the MyCreds online credential wallet;
  • Oversee and participate in the production of all graduation documents, letters, transcripts, diplomas, and manage timelines and delivery with college departments and partner institutions for convocation ceremonies, mail-outs, campus pick-up, or electronic distribution.

Qualifications:

  • A two-year diploma in Office Administration, Business, or a related field;
  • A minimum of two years of recent office experience in a computerized setting that necessitates a high level of language proficiency to clearly and credibly communicate policies, procedures, and guidelines to both internal and external clients;
  • Extensive knowledge and work history in a multi-departmental and complex organization, requiring interdepartmental collaboration and management of multiple concurrent processes.
