Job Summary

Thompson Rivers University is seeking a highly organized and detail-oriented Medical Office Assistant to join our Health Centre team. As a Medical Office Assistant, you will provide administrative support to our healthcare professionals, ensuring the smooth operation of our medical services.

Key Responsibilities
  1. Administrative Support: Provide reception services, screen and assist patients, and arrange appointments for healthcare professionals.
  2. Clerical Assistance: Offer occasional support to the Safety Officer and Associate Director, S&EM.
  3. Financial Transactions: Process billing for WCB, ICBC, MSP, and private insurance companies.
  4. Event Coordination: Coordinate flu clinics, arrange student/staff appointments, and schedule community-based nurses or health practitioners.
  5. Record Keeping: Compile confidential records, reports, statistics, and charts.
  6. Medical Documentation: Process confidential medical documentation for students entering programs with medical prerequisites.
  7. Appointment Scheduling: Arrange appointments and liaise with health agencies, medical specialists, x-rays, laboratory, or hospital.
  8. Clerical Support: Provide support to the Health Care Team to coordinate programs promoting health awareness within the TRU population.
  9. Clinical Procedures: Assist the Campus Physician with clinical procedures, such as sterilization of medical tools/equipment and preparing equipment for use.
  10. Testing and Record Keeping: Perform and record confidential routine tests, such as pregnancy, urine, blood pressure, and vision.
  11. Financial Reconciliation: Reconcile weekly cash reports and forward to the Finance department.
  12. Facilities Maintenance: Clean and tidy the First Aid room and Examination rooms.
  13. Supply Management: Order and maintain office and medical supplies.
  14. Student Coordination: Coordinate the work of work-study students.
  15. Emergency Response: Locate students in emergency situations.
Requirements
  • Education: Grade 12 plus a Medical Office Assistant Certificate or equivalent.
  • Experience: Two years related experience in a physician's office, community medical clinic, or a hospital medical clerical unit.
  • Skills: Ability to perform word processing at 45 wpm, maintain confidentiality, deal courteously with students, staff, and the medical community, and operate office equipment.
Working Conditions
  • Working in close proximity to patients and Health Centre staff.
  • Front counter work and working at a computer for long periods of time.
  • Ability to lift weights up to 10 kg.
