JOB SUMMARY

The Medical Office Assistant plays a vital role in ensuring the smooth operation of healthcare services at Thompson Rivers University. This position involves a variety of clinical administrative tasks aimed at supporting both patients and healthcare professionals.

KEY RESPONSIBILITIES
  1. Clinical Administration: Manage reception duties by screening and assisting patients to gather and provide accurate information. Schedule appointments for healthcare providers, including physicians and nurses, while ensuring efficient communication of departmental correspondence.
  2. Clerical Support: Offer clerical assistance to the Safety Officer and Associate Director of Safety & Emergency Management as needed.
  3. Billing Management: Handle billing processes for various insurance providers, including WCB, ICBC, MSP, and private insurers.
  4. Flu Clinic Coordination: Organize flu clinics by scheduling appointments, procuring necessary supplies, and coordinating with community health practitioners.
  5. Record Keeping: Compile and maintain confidential records, reports, statistics, and charts, ensuring accurate filing and retrieval of patient information.
  6. Medical Documentation: Process confidential medical records for students entering programs with health prerequisites.
  7. Appointment Management: Arrange appointments and communicate with health agencies, specialists, and laboratories.
  8. Health Promotion Support: Collaborate with the Health Care Team to provide clerical support for health awareness initiatives within the university community.
  9. Clinical Assistance: Assist the Campus Physician with clinical procedures, including sterilization of equipment and preparation of patients for examinations.
  10. Routine Testing: Conduct and document routine tests such as pregnancy and blood pressure checks, as well as record patient metrics like weight and height.
  11. Financial Reporting: Reconcile weekly cash reports and submit them to the Finance department.
  12. Facility Maintenance: Ensure cleanliness and organization of the First Aid and Examination rooms.
  13. Supply Management: Oversee the ordering and inventory of office and medical supplies.
  14. Student Coordination: Supervise work-study students as necessary.
  15. Emergency Response: Locate students during emergency situations.
QUALIFICATIONS

Education: Completion of Grade 12 along with a Medical Office Assistant Certificate or equivalent qualification.

Experience: A minimum of two years of relevant experience in a physician's office, community medical clinic, or hospital clerical setting.

REQUIRED SKILLS AND ABILITIES
  • Proficient in word processing with a typing speed of at least 45 words per minute.
  • Strong commitment to maintaining confidentiality regarding medical information.
  • Excellent interpersonal skills to interact courteously with students, staff, and the public.
  • Ability to operate standard office equipment, including copiers and fax machines.
  • Practical knowledge of routine patient care practices.
WORKING ENVIRONMENT
  • Proximity to patients and healthcare staff.
  • Involves front desk duties and extended periods of computer use.
  • Physical capability to lift weights up to 10 kg.

The salary for this position is determined by the Collective Agreement with the Canadian Union of Public Employees, Local 4879.
