Administrative Coordinator

We are seeking a highly organized and detail-oriented Administrative Coordinator to provide exceptional support to our Regional Leadership team at Scotiabank. As an Administrative Coordinator, you will be responsible for managing the day-to-day operations of the team, ensuring seamless communication and coordination among team members, and providing administrative support to facilitate the team's success.
Key Responsibilities- Administrative Support
- Manage calendars, schedules, and appointments for the Regional Director and team members
- Coordinate travel arrangements, meetings, and events
- Prepare and distribute meeting materials, reports, and other documents
- Provide receptionist support, including answering phone calls, responding to emails, and greeting visitors
- Correspondence and Communication
- Sort and distribute incoming and outgoing mail, packages, and faxes
- Compose and edit correspondence, reports, and other documents
- Proofread and edit documents for accuracy and clarity
- Develop and maintain filing systems and databases
- Financial Management
- Prepare and process expense reports, invoices, and other financial documents
- Manage and reconcile budgets, accounts, and other financial records
- Provide financial analysis and reporting to support business decisions
- Project Coordination
- Coordinate and facilitate the release of significant initiatives, communications, or launches
- Liaise with internal and external stakeholders to ensure timely and accurate delivery of materials
- Organize and manage project timelines, milestones, and deadlines
- Education and Experience
- Post-secondary education in business administration, communications, or a related field
- Minimum 2-3 years of experience in administrative support, preferably in a financial services industry
- Skills and Abilities
- Excellent organizational, communication, and interpersonal skills
- Strong attention to detail and ability to maintain confidentiality
- Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook
- Ability to work in a fast-paced environment and prioritize multiple tasks and deadlines
