Job Summary

We are seeking a highly organized and detail-oriented Administrative Coordinator to provide exceptional support to our Regional Leadership team at Scotiabank. As an Administrative Coordinator, you will be responsible for managing the day-to-day operations of the team, ensuring seamless communication and coordination among team members, and providing administrative support to facilitate the team's success.

Key Responsibilities
  • Administrative Support
    • Manage calendars, schedules, and appointments for the Regional Director and team members
    • Coordinate travel arrangements, meetings, and events
    • Prepare and distribute meeting materials, reports, and other documents
    • Provide receptionist support, including answering phone calls, responding to emails, and greeting visitors
  • Correspondence and Communication
    • Sort and distribute incoming and outgoing mail, packages, and faxes
    • Compose and edit correspondence, reports, and other documents
    • Proofread and edit documents for accuracy and clarity
    • Develop and maintain filing systems and databases
  • Financial Management
    • Prepare and process expense reports, invoices, and other financial documents
    • Manage and reconcile budgets, accounts, and other financial records
    • Provide financial analysis and reporting to support business decisions
  • Project Coordination
    • Coordinate and facilitate the release of significant initiatives, communications, or launches
    • Liaise with internal and external stakeholders to ensure timely and accurate delivery of materials
    • Organize and manage project timelines, milestones, and deadlines
Requirements
  • Education and Experience
    • Post-secondary education in business administration, communications, or a related field
    • Minimum 2-3 years of experience in administrative support, preferably in a financial services industry
  • Skills and Abilities
    • Excellent organizational, communication, and interpersonal skills
    • Strong attention to detail and ability to maintain confidentiality
    • Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook
    • Ability to work in a fast-paced environment and prioritize multiple tasks and deadlines
