Position Overview

In the role of Administrative Coordinator within the Education Department, you will report directly to the Director of Education. This position is essential in providing comprehensive support and project assistance to the Director. Your duties will encompass financial administration, preparing briefings, organizing schedules, managing electronic data, and handling inquiries and communications. Furthermore, you will assist in programming, compliance reporting, and ensuring adherence to educational standards.

Primary Responsibilities

  • Coordinate all meetings for the Director of Education, including logistics such as room bookings, meal arrangements, agenda preparation, and minute-taking.
  • Maintain an organized filing system and assist with the implementation of electronic office systems.
  • Attend all meetings as designated by the Director.
  • Provide general office support, including photocopying and faxing.
  • Prepare and finalize confidential documents, including memoranda, meeting minutes, and funding proposals.
  • Ensure that confidential files are maintained securely and orderly.
  • Monitor deadlines and assist with financial matters related to assigned programs.
  • Act as the primary contact for inquiries related to the Director of Education's daily operations.
  • Facilitate communication with various stakeholders, including teachers and education assistants.
  • Perform additional duties as assigned by the Director or other leadership.

Qualifications

Education:

  • Certificate or Diploma in Business Administration or a related field.
  • A Bachelor's degree in business administration or a related area is an asset.

Experience:

  • 3-5 years of relevant experience in progressively senior administrative roles.
  • Strong leadership and interpersonal skills, including time management and organizational abilities.
  • Proficiency in Microsoft Office 365 Suite (Word, Excel, Outlook).
  • Knowledge of First Nations culture and experience working with Indigenous communities is an asset.

Requirements:

  • Ability to maintain confidentiality and adhere to organizational policies.
  • Valid driver's license and satisfactory criminal record check.
  • Excellent verbal and written communication skills.
