This is an exciting opportunity to join our pharmaceutical client based in the greater Toronto area. As a Sales & Marketing Coordinator, you will support all commercial functions as well as the Canadian Executive Leadership team, including administrative support to the General Manager. This role will also be responsible for coordinating all Canadian employee site events and celebrations.
Key Responsibilities:- Project Support: Collaborate closely with the sales and marketing teams to support and contribute to projects of varying size and complexity. Create and manage the annual company team calendar.
- Internal Meetings Management: Organize, coordinate, and manage follow-up of all internal meetings, including scheduling, participation, catering, travel arrangements, and venue management.
- External Event Management: Manage external events, including venue selection, travel arrangements for healthcare professionals, healthcare compliance, and reporting. Manage budgets and invoices.
- Finance/Budget Administrative Support: Provide administrative support for finance and budget, including purchase order preparation, monthly spend reconciliation, and reporting to Finance. Process invoices and payments.
- Vendor & Contract Management: Manage vendors and contracts, including tender/contract dossier preparation, submission, execution, and monitoring. Conduct vendor audits.
- Operating Procedures & Project Management: Support and lead the coordination of new/updated standard operating procedures, including policies for all Canadian employees.
- Onboarding: Provide assistance to new employees for equipment, procedures, and system training.
- Organization Expertise: High attention to detail, able to juggle numerous tasks at varying stages of completion.
- Collaboration & Communication: Enjoy working with people, collaborating with colleagues, following up, and engaging pleasantly with external vendors, contacts, and customers.
- Professional Experience: Minimum 5 years of professional experience in sales and/or marketing support, executive assistant, general administration, combined with customer relations.
- Language Skills: Maintain a professional disposition at all times, above-average communication skills. Fluent in English, both written and spoken. One additional language relevant to the sales region is an asset.
- Technology Savviness: Able to work virtually with minimal supervision, present, and organize onsite office space within a hybrid work environment. Valid driver's license and personal vehicle required for travel to venues and the office.
- Education: Bachelor's Degree in Business or a related field.
- Preferred Experience: Prior pharmaceutical or biotech experience is preferred.
