About the Role

We are seeking a highly organized and detail-oriented Financial Operations Specialist to join our Finance & Administration department in Canada. As a key member of our team, you will be responsible for ensuring the smooth operation of our financial processes and procedures.

Key Responsibilities
  • Project Initiation
    • Collaborate with Project Managers to set up new projects and approve billing terms in accordance with our Credit and Collection policy
    • Prepare project budgets in our accounting system where necessary
    • Verify that Authorizations to Proceed (ATP), Purchase Orders (PO), and contracts are properly documented in the project file
  • Project Invoice Preparation
    • Process all project-related billings to clients in accordance with our revenue recognition policy and applicable sales tax
    • Prepare draft billing documentation to facilitate the billing process in a timely manner
    • Post entries into our accounting software and arrange for invoice delivery
    • Review project-related documents (contracts, PO, ATP) to ensure accuracy and completeness
    • Prepare statutory paperwork as required
  • Work in Progress (WIP) Management
    • Monitor work in progress by reviewing time spent on projects and disbursements incurred
    • Report on project profitability to management
    • Provide project managers with information on opportunities for additional invoicing and remaining funds available for projects
    • Investigate all project expenses not billed to clients
    • Compile information for internal/external audits as necessary
  • Project Close Out
    • Change the status of projects to inactive or dormant upon completion of work
    • Clear advance billings against WIP to recognize write-ups and write-offs at project completion
    • Calculate project variances and obtain approval for write-offs (project time and expenses at billing rates are higher than invoices to clients)
Requirements
  • Excellent Communication & Interpersonal Skills
  • Ability to work independently with minimal supervision
  • Post-secondary education with a minimum of 3 years' experience in business is preferred
  • Knowledge of Deltek Vision is an asset
  • Working knowledge of the Office suite of products is required
