About the Role

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at FortisBC. As a key member of our department, you will provide administrative support to our team and act as an assistant to our department's personnel.

Key Responsibilities
  1. Administrative Support: Provide secretarial, administrative, and clerical support to the department, including coordinating calendars, scheduling appointments, and preparing agendas.
  2. Communication and Reception: Receive, redirect, and respond to departmental calls, act as receptionist for the department, and greet and direct visitors.
  3. Financial Management: Assist in tracking department expenses, revenues, and expenses generated from initiatives, and code documents such as visa statements and invoices.
  4. Event Planning: Plan events such as communication sessions, workshops, and forums, including researching and booking venues, planning room setup, and organizing catering.
  5. Training and Development: Organize and schedule training, complete and update spreadsheets on training, and gather data from various sources to prepare periodic and ad hoc reports.
  6. Document Management: Act as the document/folder administrator for the department, develop and maintain filing systems, manuals, and other materials.
  7. Project Support: Support managers with project assignments as required, and perform a variety of other functions related to regional office needs.
Requirements
  1. Education and Experience: High school graduation including post-secondary courses in office administration and Microsoft Office products, plus completion of post-secondary accounting courses and two (2) years directly related experience.
  2. Technical Skills: Advanced knowledge of Microsoft Office products, including Outlook, Word, Excel, PowerPoint, and SharePoint, as well as other software in use in the department.
  3. Communication and Interpersonal Skills: Excellent communication, interpersonal, and organizational skills, with the ability to work well under pressure with tight deadlines.
  4. Other Requirements: Previous experience with event planning for large groups, familiarity with energy utility operations, and a good command of the English language.
