We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at FortisBC. As an Administrative Assistant, you will provide critical support to our department, ensuring the smooth operation of our daily activities.
Key Responsibilities- Administrative Support: Provide secretarial, administrative, and clerical support to the department, including coordinating calendars, scheduling appointments, and preparing agendas.
- Communication and Reception: Act as the department's receptionist, greeting and directing visitors, and responding to departmental calls and correspondence.
- Financial Management: Assist in tracking department expenses, revenues, and expenses generated from initiatives, and prepare and process personal and department expense claims.
- Event Planning: Plan and coordinate events, such as communication sessions, workshops, and forums, including researching and booking venues, planning room setup, and organizing catering.
- Training and Development: Organize and schedule training, and update spreadsheets on training to ensure staff completes required skills and training in a timely manner.
- Document Management: Act as the document administrator for the department, developing and maintaining filing systems, manuals, and other materials.
- Project Support: Support managers with project assignments as required, and perform a variety of other functions related to regional office needs.
- Education and Experience: High school graduation including post-secondary courses in office administration and Microsoft Office products, plus completion of post-secondary accounting courses and two (2) years directly related experience.
- Technical Skills: Advanced knowledge of Microsoft Office products, including Outlook, Word, Excel, PowerPoint, and SharePoint, as well as other software in use in the department.
- Communication and Interpersonal Skills: Excellent communication, interpersonal, and organizational skills, with the ability to work well under pressure with tight deadlines.
- Other Requirements: Previous experience with event planning for large groups, and familiarity with energy utility operations specifically related to business development, project management, and associated functions.
